Zapier

Connect ChatMaven to Zapier to send leads and chatbot data to thousands of supported apps. With Zapier integration, you can automate workflows—for example, adding new leads to your CRM, sending notifications to your team, or syncing contact information to email marketing tools.

This guide walks you through connecting your ChatMaven account to Zapier using an API key.

Step-by-step: Connect ChatMaven to Zapier

1. Connect and create API key

  • In ChatMaven, click Connect (or go to Account via your profile).
  • Click Create API key and copy the key. Keep it secure.

2. Create your Zapier account and Zap

  • Use the invite URL to open Zapier, then click Accept Invite and Build Zap.
  • Click Create Zap.
  • Click Trigger and search for ChatMaven.
  • Click the trigger event you want (e.g. New Lead).
  • Click Sign in.
  • Paste the API key from ChatMaven and click Yes, continue to CM.
  • When your CM account is associated, click Continue.
  • Choose your Bot and click Continue.
  • Confirm the trigger by checking that a test message is received, then click Continue.

3. Add an action

  • Click Action.
  • Search for and select the app you want (e.g. Google Sheets).
  • Fill the required fields and select the account linked with Zapier; click Continue.
  • For spreadsheet/Sheets: create the spreadsheet in that account first, then select Sheets and fill in the details.
  • Click Continue.

4. Publish and test

  • Click Publish.
  • Submit a lead from the ChatMaven lead form.
  • Confirm that the data appears in Zapier (and in the connected app, e.g. your sheet).

Using ChatMaven in Zaps

After connecting:

  • Triggers: Use ChatMaven events (e.g. new lead) to start a Zap.
  • Actions: Use Zapier actions to send or update data in ChatMaven or in other apps based on ChatMaven data.

For most lead-based Zaps, use a contact identifier (such as email or phone) from your ChatMaven leads so Zapier can match or create records in your other apps.

Troubleshooting

  • Connection or 401 error: Your API key may be wrong or expired. Regenerate the key in your ChatMaven Account section (or Settings > Integrations) and update the connection in Zapier.
  • ChatMaven not in Zapier: Ensure you’re searching for “ChatMaven” in the Zapier app directory. If it doesn’t appear, contact ChatMaven Support.
  • API key security: Do not share your API key. Regenerate it if you think it has been exposed.

FAQ and troubleshooting

My Zap does not trigger.

Check the trigger configuration (polling vs instant), test with a known event, and verify the connected ChatMaven account still has a valid token. Zapier’s Task history shows errors.

The Create/Update step fails validation.

Open the step and match required fields; use Zapier’s Find step first if you need an ID from a previous search. JSON or multiline text may need formatter steps.

How many tasks will I use?

Each successful action and some triggers consume tasks per Zapier billing. Model your volume before turning on high-frequency triggers.
