Billing (Accounts)
Under Accounts, Billing is where you manage subscription plans, add-ons, usage against limits, payment method, and invoice history for the account selected in the sidebar. The area is organized as a row of tabs so you can move between tasks without leaving Accounts.
Typical entry points in the hosted product use paths under /accounts/billing/—for example Plans & upgrade, Payment method, and Billing history. Exact URLs and labels match your build.
Who can use Billing
Access depends on your role on the account. If Billing is missing from the Accounts sidebar, ask an account owner or administrator—or contact ChatMaven support—to adjust permissions.
Open Billing
- Sign in to ChatMaven.
- In the top navigation, click Accounts (alongside Profile, Agents, and Workspaces).
- In the Accounts left sidebar, click Billing.
Confirm the account dropdown at the top of the sidebar shows the account whose subscription and invoices you want to manage.
Billing tabs (overview)
Across the top of the main area you will see tabs such as:
| Tab | Purpose |
|---|---|
| Plans & upgrade | Compare plans and start or change a paid subscription. |
| Summary | See your current plan, included features, active add-ons, and a compact billing summary with quick actions. |
| Add-Ons | Choose optional features, set quantities, and apply changes (often with monthly vs yearly billing). |
| Usage | View resource usage vs plan limits and a usage history table by period. |
| Payment Method | Add or update how the account is charged. |
| Billing History | List and open invoices when you have a paid subscription generating them. |
Tab order and naming may vary slightly by release; use the labels shown in your product.
Plans & upgrade
This tab shows pricing cards for the plans your account can subscribe to—for example Free, Starter, Growth, and Enterprise. Each card shows the price (currency and amount depend on region and configuration), and paid tiers may show a trial line such as a 14-day trial where applicable.
- Use Subscribe (or the equivalent button on each card) to start checkout for that plan.
- Free is typically labeled as no monthly charge.
Displayed amounts, currency symbols, and trial rules always follow what you see live; they are not guaranteed to match any screenshot or older documentation.
Summary
The Summary tab combines a plan overview with add-on charges and shortcuts.
Current plan
- A Current plan section states which plan you are on (for example Free) and may show a status badge.
- Included features are often listed in two columns with checkmarks—such as conversation limits, web chat widget, AI response level, analytics depth, included agents, and support tier. The exact list matches your plan in the product.
Active add-ons
Active Add-Ons lists each purchased extra (for example additional agents, team seats, vector DB storage, or email integration) with a short description, quantity where relevant, and price per billing period. An Edit control opens the flow to change those add-ons (usually aligned with the Add-Ons tab).
Billing summary card
A side Billing Summary card typically shows:
- Base plan amount
- Add-ons total
- Total monthly (or the billing period shown)
- Status line when the product surfaces subscription or payment state
From here you can use Update Payment Method and a link to View Billing History when those actions are available.
Add-Ons
The Add-Ons tab lets you configure optional billable items before you confirm.
- A billing frequency control often lets you switch Monthly vs Yearly (yearly may advertise a savings percentage such as 20% off—verify in app).
- A table lists Feature, unit Price, Quantity (with minus/plus steppers), line Total, and row checkboxes where the product requires selecting what to purchase.
- The footer shows total add-on cost for the selected period and an Update (or Save) action to apply your choices.
Feature names, unit prices, and which add-ons exist are defined by ChatMaven for your account type.
Usage
The Usage tab helps you see whether you are approaching plan limits.
- A Plan line identifies the plan whose limits apply.
- A resources table lists metrics such as Workspaces and Agents with Used, Limit, and a progress indicator.
- Usage history lists past billing periods with columns such as messages, WhatsApp paid usage, broadcasts, agents, and workspaces—exact columns depend on your plan and integrations.
Numbers and period boundaries are authoritative in the live product.
Payment Method
On Payment Method, the product shows the card or other instrument on file, or an empty state when nothing is saved yet—often with copy such as subscribing from Plans & upgrade first. Use Choose a plan (or similar) to reach pricing when no method exists yet.
When a method is on file, use the in-product controls to add, replace, or update it. Payments are processed through ChatMaven’s payment provider; if a charge fails, note any error shown and contact support with details.
Billing History
Billing History lists invoices generated for your subscription. When you do not yet have an active paid subscription, you may see an empty state—for example that no invoices appear until there is an active subscription.
When invoices exist, open a row or action to view, download, or pay an overdue invoice, according to what the UI offers.
Subscription behavior (general)
The following patterns are common in SaaS billing; your contract and in-app messaging override this section if they differ.
- Upgrades to a higher plan often take effect soon after successful payment; downgrades may apply at the end of the current billing period.
- Trials convert to paid charges when you subscribe and the trial ends, unless you cancel or downgrade per product rules.
- Failed payments or overdue invoices may change what you can do in the product until payment succeeds—watch Summary status and Billing History for next steps.
For ChatMaven-specific plan definitions and legal terms, use the pricing page and support.
If you cannot open Billing or complete checkout, confirm you are on the correct account in the sidebar and that your user has billing permissions.
FAQ and troubleshooting
I need more detail on plans and invoices.
See Billing & Plans FAQ and the pricing page. In-app Billing History lists past invoices when your subscription is active.
Why can’t I change plans?
You may lack billing permissions, have a past-due invoice, or be on a contract tier that requires support to change. Resolve payment issues first.
Taxes or currency look wrong.
Billing addresses and tax IDs are validated by the payment provider. Update your billing profile in the app and contact support with invoice numbers if something still looks incorrect.
